Moving can be stressful, but moving your office can be VERY stressful. If you are moving an office, there are some tricks and tips to put into practice to make your office move as smooth as possible. With planning and organizing your office move, your office will experience less down-time.
For office moves, planning and coordination are imperative. In fact, the earlier you start to plan and get organized, the smoother the move will go. Pick a ‘move coordinator’ from within your office to be the liaison between your company, the employees and the moving company.
First and foremost, be sure that your employees understand that they need to empty out their desks completely. More often than not, desks will be moved on end, so anything left inside could be damaged or lost. Moving companies will often supply rent-a-crates for commercial moves. Desk contents can be ‘bagged and tagged’ and put into a crate with files. Moving companies will supply “open first” stickers for all important boxes and crates.
If your employees are packing for your office move, use heavy crates when packing bookcases. Once books are packed, remove all shelves and pins from the bookcase and be sure they are affixed to the bookcase for which they belong. Label the books and the bookcase they belong with the same way.
As far as filing cabinets, these can be moved with the files inside and intact if, as a general rule, the filing cabinet is 3 drawers or less. Larger filing cabinets should be emptied, however, the bottom two drawers of four and five drawer file cabinets can be left full, but the top drawers should be emptied. Again, moving crates can be used to transport files.
Locking filing cabinets will often inadvertently get locked during the moving process so, if your filing cabinets lock, be sure you have the key! However, do not leave the key in the lock because the keys can be bent or damaged during the move.
Always contact a shredding company. Office moves also result in ‘purging’. So have shredding bins places around the office where employees can place no longer need papers and files for shredding.
While packing your office, always create a floor plan for the new office. For every item that is being moved, there should be a notation on the new floor plan for where that item should go. This will make moving into your new office space as easy and smooth as possible.
